Requirements
Bachelor of Commerce with 5–10 years of relevant experience as an Executive Secretary or in administrative support, HR services, or people management.
- Proven experience supporting C-suite or senior leadership executives
- Strong organizational, communication, and confidentiality skills
Overall Responsibilities
- Manage and maintain the CEO’s calendar, including scheduling appointments, board meetings, conferences, and key engagements
- Coordinate all meeting requirements, including calendar invites, logistics, and follow-ups
- Liaise with the Admin team and other relevant departments to coordinate the CEO’s travel arrangements, accommodation, and related logistics
- Handle confidential documents and information with the highest level of discretion and security
- Draft, review, and manage correspondence on behalf of the CEO
- Liaise and coordinate with internal and external stakeholders on behalf of the CEO’s office
- Answer and screen calls, take messages, and ensure timely communication flow
- Maintain accurate records, documentation, and filing systems for executive and departmental data
- Process and log bills, expenses, and other administrative documentation
- Facilitate inter-departmental coordination to obtain required information and updates
- Ensure all incoming and outgoing correspondence is routed promptly and appropriately as per guidance
- Assist in preparing presentations, reports, and official documents as required
