Deputy Manager- Warehousing

Job Purpose  

Plan, Organize, Coordinate, and execute all activities related to Field Warehouses through effective planning, strategizing, timely decision making, providing guidance to field team and lend support to Manager Warehousing by developing cost effective and quality business proposals.

HSE

• Keep abreast with EFERT HSE policy & standards and develop clear understanding on the same.

• Responsible for education / orientation and training on HSE for all Reports / WHIs

• Responsible for ensuring that safety protocols are being followed at all WHs to ensure zero TRIR

• Ensure closure of safety observations as per timeline and inform Manager Warehousing on status

• Report all Safety incidents under his area of operation as per the given guidelines / company policy

• Maintain liaison with all emergency institutions for a prompt service ICE

• Closure of gaps identified in 2nd party audit

Operational:

• Carryout all operations as per EFERT laid out policies and procedures

• Conduct all operations ethically and in compliance with law of land

Role of DM Warehousing is:

• Devise WH strategy on monthly / quarterly basis and make estimation for need of WH space in field as per Demand Supply

• Coordinate with brands/planning on Demand Supply on need basis & with zones for all WH related activities

• Prepare FCA at the start of each month.

• Acquisition / De Hiring of WH space as and when required on competitive rates

• New warehouse structure should be HSE compliant with provision of facilities like ELCB, FEs, First Aid Box and other related things

• Scrutiny and Processing of lease agreements, handling contracts, rental payments, handling bills and other warehousing related expenses and documentation.

• Handle all AFA / TS requests received from the zones after proper analysis

• Give supervisory support and guidance to ZDO’s/ DOs / WHIs for efficient operations in Field Warehouses

• Coordinate with ZDOs in getting reports and WH space utilization with cost optimization

• Responsible for arranging manning for local/Field WHs

• Preparation of Variable and fixed expense budgets pertaining to WHs for final review by Manager Warehousing

• Monthly stewardship report to Manager Warehousing

• BLI’s reporting and analysis.

• Reviewing ERVs before sending to Manager Warehousing

• Act as a center-point for approval of exception (like PERs/ROSPs)

• Compilation and Managing Shipment Plans for supply sources

• Carry out any other specific job or activity assigned by supervisor

OWN DECISIONS

▪ Shipment Plans in consultation with zones as per guidance of Manager Warehousing

▪ Vendor Payment Processing (as per LOAM)

▪ Approval of ERVs (as per LOAM)

MUST CONSULT/ APPROVAL OF SUPERVISOR BEFORE DECIDING

Relationship

• Sales/ZBU: For D/S to plan capacities and develop strategy

• F&P: FCA, Stewardship & Variable Budgets

• HR: Recruitment for vacant position and Trainings

• Procurement: IP/Non-IP equipment/items purchase

• Legal for contracts review and registration

PROBLEMS / KEY FEATURES

Key Challenges in the position:

▪ Liaison with vendors and influencing stakeholders for optimal service delivery.

▪ Acquiring warehouse space with maximum efficiency in terms of cost and space.

▪ Ensuring that all HSE standards are being followed at Warehouses and ensuring zero TRIR.

▪ Managing inventory at optimal levels keeping in mind demand and supply.

 Late operations/Weekend operation/WHIs Backup

Warehouse can operate beyond stipulated defined office hours as per request of Supply Source, sales or SFB. ZDO’s to review such cases and operate only after Manager Warehousing approval.

In case Weekend/public holiday operations are required as per request from Supply source, sales or SFB. DM WH to review along with ZDO’s and Manager Warehousing. Such operation to be approved by Manager Warehousing.
